
Office Manager
Essential Duties and Responsibilities:
- Assists the Medical Billing Supervisor with the day-to-day management of all aspects of support staff functions.
- Locates and attaches related documents to correspondence, which requires the personal attention of the Medical Billing Supervisor.
- Handles details of a confidential nature, and performs administrative functions based on understanding of company policy.
- Frequently interacts with all employees within the company, as well as clients, vendors, and business relations.
- Directly supervises administrative staff including participation in interviewing, training, and appraising staff performance, planning, assigning, and directing work flow, review of clinical documentation to meet licensure/accreditation and contract requirements.
- Establish internal record keeping and reporting procedures in support of the all contract reporting requirement.
- Design, prepare, and distribute data collection forms. Make any necessary corrections to form information.
- Enter and/or assure the proper entry of data from data collection forms.
- Works with Quality Assurance personnel to streamline processes so front desk functions flow smoothly and consistently among all outpatient centers.
- Act as liaison between state reporting personnel and Program Staff members.
- Guarantee that all case records at the Agency are kept confidential.
Schedule:
- Type: Full-time
- Hours: 40+ hours each week (potential travel, possible Saturdays)
Education and Experience Qualifications:
- Associates degree in related field or one year certificate from college or technical school is required. In lieu of a degree or certificate, candidates with 3-6 months of related experience and 3 years of supervisory experience may be considered.
Required Knowledge and Abilities:
- Must be familiar with a variety of grant and contract reporting requirements.
- Must be a person who pays close attention to detail and be proficient at data-entry.
- Must be proficient in computer software, including Word processing and spreadsheet applications.
- Ability to read and comprehend simple instructions, short correspondence, and memos.
- Ability to write simple correspondence.
- Ability to effectively present information in one—on—one and small group situations to customers, clients, and other employees of the organization.
- Ability to apply prescribed business etiquette procedures to carry out instructions furnished in written, oral, or diagram form.
- Ability to deal with problems involving several concrete variables in standardized situations.
- Ability to learn quickly and to adapt to new situations.
- Ability to maintain the confidentiality of clients.
Physical Demands:
- The staff member is regularly required to sit and talk or hear.
- The staff member is occasionally required to stand and walk.
- The staff member may occasionally lift and/or move up to 25 pounds.
- Specific vision abilities required by this job include close vision.
- The staff member must have the ability to move within and between agency buildings, standing, sitting, lifting and manipulating objects typically found in this work environment.
- The staff member may be required to work at any agency building as needed/directed and be responsible for her/his own transportation.
- The staff member may be required to work extended periods of time at a video display terminal (VDT).
- The staff member must be able to work in a fast-paced environment with demonstrated ability to juggle and prioritize multiple, competing tasks and demands and to seek supervisory assistance as appropriate.
